Budget Meeting

Board Members: Marc Cram, Dale Clarkson, Shawna Cox, Ben Clarkson, Jodi Akers

Approval of October Board Meeting Minutes - Motion to accept by Marc Cram, Seconded by Ben Clarkson. Approved by all.

Financial Report - Linda Alderman and Jody Akiers

Linda handed out a Balance Sheet as of Nov. 9, 2012 which included:

Total Assets $54,359.89

Total Liabilities & Equity $54,359.89

Jody handed out a Budget Worksheet taking the last three years to come up with an average for out 2013 budget projections.

We worked through each line item on the budget and added and subtracted to try to accomplish all the things we need to do and then ones we would like to do to improve the ranch and of course had to cut back to make it fit

Our budget.

Total Income Projected for 2013 : $135,500

Cabins:

Cleaning Fees will be enforced from now on!

New pink sheets and undated info will be put in cabins.

Compliments from members for very clean cabins was passed on to the managers!

There will be No Friday Night cookouts for the time being.

The Board would like to encourage the “Adopt a Cabin” program to continue as before. Anyone wanting to adopt a cabin and make improvements such as decorating, restoring, refurbishing etc. would be

much appreciated by all cabin users.

There still needs to be repair and painting done on cabins.

Shawna motioned: We implement a cabin “utility fee” of $50 per cabin per week to help cover the cost of the increase of gas and propane.

Cows:

Doug Hunt is moving the cows out this week to Paria.

Fencing:

Taylor Button has been working on fence along Lot 161 and the fence along fire escape road under Cabin #1.

Ben will instruct Taylor to work on fence on the upper and lower end of the Meadow .

Gas:

Gas is only to be sold in case of an emergency. The price is $6 per gallon.

If members need work done on their property they need to hire local contractors who know the area and not DSR Managers.

We will make a list of DSR Endorsed local contractors and post them on the bulletin board with their contact information.

Wildlife Income:

It has been proposed that we allow a local hunting guide to purchase an exclusive right to guide hunters on DSR land.

Ben motioned to: Encourage Larry Clarkson to contact
Travis Roundy and come to some agreement and price for the Exclusive

Guide rights and return and report.

Seconded by Dale Clarkson. Vote was unanimous.

Store Sales:

The managers were confidant they could increase store sales to bring in a profit. The board encouraged them to do so and gave them a budget of $1,500. Suggestions were made to purchase chips through the Frito Lay man, Brain Huntington. Ice Bags from Kevin Glazier and Candy from Costco. We will also need a little Chest Freezer.

Headquarters Area:

Move laundry to 40’ container behind the Ranch House. Purchase 2 regular large capacity washers and 2 gas dryers. (Shawna Cox has connection to some). Also get the Laundry Soap recipe. Schedule Large Generator to run

Between 8 - 10 p.m. to pump water.

Remove silt from Pollywog Pond.

Legal:

Update the Bylaws this year. Jodi will contact the State and get their blue-print package for bylaws then take them to our Attorney Kimball. Ask how much it will cost to make the changes and get the language right so we can

get it passed. Shawna & Ryan will help.

Printing and Posting:

We will save money if we go electronic with news letters and statements for all those with emails. Postage will only be for those who do not have an email.

Security:

We will need approximately 6 more motion detector cameras. - Ben

Summer Help:

We will contact retired couples that have camp trailers etc.

Insurance:

Ben will compare a couple of other insurance companies and try to save money by combining all policies under the same umbrella.

Crop Management:

Re-seed 50 acres with dry-pasture mix. Use “Spike” to kill woody plants and rabbit brush. Mow after it’s dead.

Consider proposal of Johnson and Steed about seeding.

Talk w/Doug Hunt about it.

Fish:

Blue Gill in lower pond.

Bass in Lower pond and Slide Canyon.

Trout in Upper Pond.

Roads:

Where are the missing culverts?

Weld or Plastic Patch imperfect Galvanized Culverts for use.

Grading and Contract Services on Meadow Canyon road.

Meadow Canyon road signs saying (Pass Through Only) to County Road.

5 miles South to Headquarters.

County needs a sign telling GPS users not to travel dirt roads.

Petting Zoo :

Goats, Chickens, a Horse (for Manager Use only).

Purchase pellets and hay $1,000.

Auto and Equipment:

Price a new piece of Equipment. 75 horsepower Tractor w/bucket and mower connections on the back.

Sell Kabota and get a better size and more useful piece of equipment for the ranch.

Water:

Water System needs water line repairs.

Shawna motioned to replace the bad water lines.

2nd by Dale Clarkson Vote unanimous.

Chris will stabilize the Head gate @ Half Moon Reservoir

Head gate @ Red Reservoir is under water.

Suggested not to install a cat walk to Hidden Rreeservoir but install an extension with a drive wheel to adjust head gate.

Meadow Springs Study needs to be finished.

Activities & Special Projects:

Barn Restoration - Stabilization - Do be done this weekend by Chris, Marc, and Brent.

Cooking Grills - need charcoal grills for cabins

Pavilions at ponds #1 & #2 need metal roofs (already have enough metal) - says Chris.

Assessment Fees for 2013:

Ben Clarkson motioned to reduce the annual assessment fees for this year to an even $475.00

Managers Report:

We have been cleaning up the ranch and headquarters. We have limb and trimmed many roads (meadow canyon, slide etc.)

Post/fence/ and cattle guard repairs
