Those on the call: Dale Clarkson, Marc Cram, Ben Clarkson, Linda Alderman, Ryan Dudinsky, Jodi Akers, Vance Green, Shawna Cox, and Bob Allen.


Approval of September, 2012 Board Meeting Minutes

Financial Report : Linda Alderman will email a check register to each Board Member every Friday.

Ranch Managers Report – On Top 8 List items:
1 - Washer & Dryer for the Ranch – Not yet
2 - Seed the Well Field – Yes Seed was ordered, received at ranch and planted before winter.
3 - Finish the Vault – 90 percent done
4 – Paint Cabin #1 – No
5 – Fence Lick Wash needs repair – Part way done
6 – Pavilion up at the lower fish pond – will install covering next spring before busy season.
7 – Rodent problem in cabin #4 – Steel wool was placed in entry holes, buckets of water were
Set up for traps.
Marc made a motion: To purchase and install bait boxes to help get rid of the problem.

Ben will purchase the traps.
8 – Grade and gravel the Ranch Rods in upper slide canyon. $5,000 for 21 loads of rock delivered on Meadow Canyon Road by Allen Steed. Chris & Larry have trimmed trees and
Graded the road.

In regards to the letter from Phil Hall (Lots # 44 & #58) requesting to exchange concrete culverts for future membership dues or asking if DSR wanted to purchase
them for $9,000 for future use. There was much discussion.
Ben made a motion: That we not purchase the culverts until needed at the ranch due to lack of money and responsibility to maintain and protect them. We will negotiate a
price at that time. We also agree to trade out his current block of assessments for the gravel that was used on the Crawford Canyon DSR Roads that he paid for. It looks wonderful.

Linda would like Phil to present a bill but he doesn't need to. Linda was instructed to just send Phil and invoice stating the exchange and dues paid.
Ben or Chris will take a picture of the Crawford Canyon Road with the new gravel on it and put it in our archives.
Members NEED TO KNOW that the Processed Gravel Pile is owned by Phil Hall and if they want to purchase some from Phil they should make arrangements with him.
The Ranch Owners have access to the Untreated Bank Run on the side of the gravel pit and Use MUST BY DOCUMENTED by contacting Larry Baer, Brent Fullmer, Chris Church, or Dale Clarkson.
Keep the hillside sloped and no digging up trees etc. There is a FINANCE CHARGE of $2 per yard for personal use.
Wingate proposal of a house or lot for kids will be post phoned until next year as our season is winding down now. Linda will respond to the Wingate email.

Agriculture and Wild Life:
In answer to Mike and Kathy Duvalls letter requesting cost sharing of a fence on their Southern boundary. At the September board meeting Mike was asked to get a bid from a fencing contractor
which has been received. The bid was for 1,320 ft for a cost of Approx. $5,000.
Ben motioned: DSR cannot do that for him because we can't do it for any other members either, but if it is in
line with our overall fencing plan for our cattle operation then we will work it out.

Ben will respond to the Duvalls.
Question was asked: Do we have $10,000 left to do fencing in our Budget? Jodi is checking with Linda to see how much we have used so far.
Ben will talk with Taylor Button about getting more fencing done next Spring to meet our contract obligation with Doug Hunt.
Jodi was concerned that we need to fulfill our contractual obligation to finish the fencing this year because we would be in default with the contract and owe Doug Hunt a penalty of $2,000.
Linda said she knows there is some fencing materials such as poles and barb wire by the west side of her (Alderman’s) lot.
Ben said it was left there by Taylor Button who had been up doing some work alone on a couple of weekends.
Marc said Doug was very happy with the Brush Hogging and improvements that had been made this year and might not be too upset about the fence.
After checking the budget with Linda, Jodi stated that we have only used $2000 so far and we still have approx. $8,000 to get more fencing done. We don't want to lose $2,000 so can we get the
fencing done for that amount?
Ben will see if we can get on Taylors schedule to extend the fence in Meadow Canyon another 1/2 mile by the Red Reservoir where the cattle are getting out. He will also explain that we need Taylor’s whole crew for a week and not just Taylor for a couple of weekends. They say Winter might be coming early this year.

Water: Dale said Mackelroy wants to hook into the Ranch Water System by the 40,000 gallon tank. He does have a water right like everyone else in the association but did he pay the $5,000 hook up
fee some of the members had a few years back?
Linda researched it and Mackelroys did pay for a hook up on Oct. 4, 2004.
Dale said that Mackelroys could put a pipe in from his lot and connect in the 40,000 tank line and there will be no monthly charge to him as long as he is using no water. There are no charges until usage.
Vance will email the board on how to hook up to the 40,000 gallon tank.
Vance: In regard to Violation #13056. We missed a water test in August. We got some points on our record with the State but we have communicated with them and explained our employee problem and
we are good at this point. Vance has been working with Bob Allen and Ben Clarkson in taking the water test and getting it shipped to Salt Lake. We need to do one more test this year. We have to test 3 times
through the months of May - Oct. when the water system is in use.
Bob Allen agreed to do the test if someone will show him how to do it the first time.
Ben made a motion: He will work with Bob Allen to take the water samples and Ben will see that they get to UPS and shipped to Chemteck in Salt Lake City.

Linda said that UPS leaves Kanab by 9:30 a.m.

#10 Cabin Maintenance - Cabin #3 repair and painting is complete.
Ranch House needs exterior painting.
Kelly finished staining the beautiful ranch house fence.
There are still 2 unclaimed vehicles that need to be removed from the Ranch.
It is believed that they belong to the Braytons.
Marc made a motion: The owners of the 2 vehicles must have them removed from the Ranch by the 15th of November, 2012 or the board will take a title lien and sell them.

Shawna will contact the Brayton's to see if they are their vehicles and let them know.

Ranch Activities: Thanks for everyone's participation in the Activities this year. We had a great dinner and entertainment with the Doug Hunt family during the Cattle Roundup. The entertainment was performed by (?) Arnold (Eddy Arnold's cousin). He was fantastic we even bought one of his CD's.
In August at our 3rd Annual Olympic we had a wonderful day and had about 40 participants.
Shawna has never used any of the Ranch money for these activities but would like to request a re-imbursement this year of $200 to help pay for the food and prizes.
She will submit a bill to Linda.
Shawna will forward some of the photos from the Olympics etc. to Linda to share with all.

Jodi - Our Annual Budget meeting for 2013 will be in November and all Items and expenditures that need to be included should be brought to the meeting.
Repo Lot# 92 dues were written off and Lot #17 DSR is now on as 1st lien Holders. Our attorneys for DSR Clarkson,Draper, Kimball will do a title report.
DSR was not billed for letter written on Lot #92.
Dale: Lots #51& #52 will also need a letter from the attorneys.
The rest will have to be discussed in our executive meeting.

Communications: Ryan doesn't have anything more.
Ben said that he spoke with Bob Becker and Bob has the radios that those who were at the Annual meeting and ordered and they can pick them up anytime soon.
Some folks already have theirs.

13 - Mary Shribner lot #285 letter about the rig in Slide Canyon. Linda will answer her letter and explain to her that the DSR board doesn't have anything to do any different
than she does with that. The Rig is on private property and if she would like to contact the owner and encourage them to move it she can.

Again Linda was asked why the board still doesn't have the knowledge to obtain the names from the back office. Linda said she would email that out tonight to the board.

Brent Fullmer's letter about winding down the cabins. Linda will respond to him about cabin reservations and we will close down the cabins on October 22. We have already had
hail this week.

Due to the accident to Chris's family last night we will need some help to cover Chris and Kelly so they can attend the funeral and go and get their belongings in Vegas. They didn't know when they came for a visit that they were going to get a job and they have been working out of their little suitcases or bags. Thanks for all they have contributed. Marc will asses and report.

Next board meeting will be Saturday Nov. 10th at 9 a.m. at ZNB in Kanab. (Budget Meeting)
